The Light Surgeons are a boutique production company specialising in cross disciplinary arts & design projects based in Hackney, East London. We produce a wide range of different projects both in the arts & cultural sector and in the commercial realm; specialising in creative video production, interactive art, live performance and installations both in the UK and internationally.
We operate from a small studio space and work with a wide range of freelance film makers, animators, designers and creative coders. Your job will be to manage the studio and production schedules as well as the day to day administrative responsibilities of running a small company. This is a job that requires attention to detail, organisation and time management, clear communication skills and the flexibility required for working in a small company on a wide range of different types of creative projects.
You will be supporting the management of a busy creative studio that can change from a quiet environment to one full of freelancers and multiple projects all running at the same time. A working knowledge of website management would be useful including proficiency with managing social media platforms and dealing with publishing company newsletters.
There will be times when the Director is away on international trips and you will have to be confident managing the studio independently. You need to have worked previously in an administrative role, preferably in a creative environment and in a similar sized company. You need to be used to dealing with accounts, including organising VAT returns and be proficient with the relevant day to day software packages like Microsoft Office. A working knowledge with online platforms like Google docs and WordPress would be preferable and you will need to be fully Mac OS literate.
Hours and pay are subject to discussion, we are offering a permanent PAYE position which could potentially be part time or full time depending on initial discussions and the level of experience of the applicant.
JOB DESCRIPTION
- Manage the studio schedule, the directors’ diary and all other appointments outside of running productions.
- Keep on top of and manage incoming emails for the studio, from their email and info@, jobs@ & newsletter@ addresses.
- Support bringing together pitch and tender documents, proposals and applications.
- Manage the studio cash flow, produce invoices, complete banking and complete VAT returns.
- Provide banking for working productions.
- Manage petty cash.
- Liase with accountants and all business that includes them, for example, pay roll and corporate tax return support.
- In charge of and constantly reviewing utility suppliers. Managing metre readings and ensuring that all utility bills are paid on time.
- Keeping companies house details up to date and completing all annual registrations online.
- Maintaining the TLS mailing list & online database.
- Helping to manage TLS website, social media & online newsletter.
- Ensuring that the studio basics are always replenished such as printer ink, paper, tea, coffee etc…
- Checking postal deliveries, arrange couriers and signing for packages.
- General studio organisation, filing and clearing up.
PERSON SPECIFICATION
Must have:
- Experience of working within a creative agency
- References to previous work
Must be:
- Clear and organised, know how to prioritise workload and manage both the studio schedule and all billing and accounting requirements for the studio.
- Confident dealing with invoicing, completing banking and completing VAT returns.
- Able to work on own initiative without prompt, know how to work within a high pressure environment that can require quick changes, flexible hours and occasional overtime requests.
- Able to work on several aspects of the job outlined here at one time.
- An excellent communicator who is used to working closely with the company director through to interns.
- Have a good telephone manner and excellent written communication skills.
- Proficient in Microsoft Office.
- Familiar with website CMS like WordPress and campaign monitor.
- Familiar with social media platforms like FaceBook, Twitter, Flickr, YouTube and Vimeo.
- Mac OS literate
Ideally have or be willing to learn:
- A working knowledge of Adobe Creative Suite
- A working knowledge of Final Cut Pro
- Research skills
- Clean diving licence
- A curious mind
- A passion for art, design, film & music
